Job description

Administrator, Permanent position, Hourly rate dependent on experience, working hours are Mon-Fri 9am-3pm.

Main Responsibilities and Duties:

  • Monitoring workflow, issuing and inputting completed worksheets, general management of the maintenance system.

  • AX for the maintenance department, invoices, quote uploading etc.

  • Collating and processing engineer's timesheets and holiday requests.

  • Inputting holiday and absence information into timeware keeping the Facilities Manager up to date.

  • Arranging contractors to support the Facilities Manager if requested.

  • Maintaining and updating and recording accurate COSHH information.

  • Monitoring a skills matrix for Maintenance Engineers, providing feedback and quotes where required.

  • Monitoring/arranging servicing for MEWP's and MHE completed by Toyota and report any defects or none compliance to the Facilities Manager.

  • Covering for the Facilities Manager whilst on leave/or during absence.

  • Ensuring that all documentation and records for the department are kept up to date.

  • Arranging quote uploads to AX for waste collections and oversee waste levels keeping the Facilities Manager up to date (e.g., 3D printer ink, batteries and waste oil).

  • Uploading costs to AX and arranging sprinkler pump fuel deliveries and used drum collections.

  • Uploading costs to AX and arranging consumable items for the cleaning team.



Criteria:

  • A proven track record in a similar role.

  • Full driving licence.

  • Engineering or construction background with previous experience in a similar role.

  • General administration experience/IT literate including a good working knowledge of Microsoft packages including Word, Excel and AX.

  • A focused team player with a strong character.
